Estimate apartment move-in cash by adding the rent due at move-in, security deposit, other prepaid rent, upfront fees, moving expenses and setup costs. Add any extra cash cushion you choose. Keep recurring monthly housing costs in a separate total so you don't count the same month's rent twice.

Build the upfront list

Use the Tolibox apartment move-in cost calculator with the amounts in your proposed agreement and your own moving estimates. Enter zero for a cost that doesn't apply. If the first rent payment is prorated, enter the amount actually due, not automatically a full month.

Here's a worked example: $1,500 rent due now, a $1,500 deposit, $100 in upfront fees, $300 for moving, $150 for setup and a $450 cushion. With no other prepaid rent, the cash needed is $4,000.

The deposit is still part of that cash requirement. A possible later return doesn't make the money available for moving day. The tool doesn't determine whether a fee is permitted or whether a deposit will be returned.

Separate the ongoing monthly budget

Enter the regular monthly rent, estimated utilities and renters insurance in their own fields. At $1,500, $180 and $20 respectively, ongoing housing costs total $1,700 a month. That monthly figure isn't added again to the $4,000 move-in total.

This distinction matters when comparing apartments. One might need more cash initially but have a lower recurring cost. Keep food, transportation, debt payments and other household spending in your broader budget. Consumer.gov's budgeting worksheet guidance explains how to collect income and expense figures.

What should you verify before paying?

Confirm what each charge covers, when it's due and whether you've already included it elsewhere. Treat the displayed total as a worksheet, not a landlord's quote or an affordability approval.

You can also use the gas trip cost calculator for a separate travel estimate. If you transfer that estimate into moving costs, don't add it a second time elsewhere.
